Lessons Learned as I Journey - Final Chapter ... for now

I was downsized at the end of the summer. Now that I'm a full-time job-seeker, I wanted to share some insights based on my job-search experiences so far and what I have learned. If you're looking for work, or contemplating a move professionally, read on:

Looking for jobs online? Sure, there’s Monster, Careerbuilder, Hot Jobs, and so on, but aggregator sites like indeed.com and simplyhired.com draw from a broad variety of job listing sources, so you get more efficiency by looking there first! The one caution I would offer is that if you’re looking for a government job, you probably won’t find them at the sites above. Instead, you have to look at municipal sites (town, city, county, etc.), and/or the sites for the particular agencies if state or federal government is your target. Yep, this is a real PITA, and I have personally alerted government workforce professionals that their opportunities are NOT listed where private-sector people are looking for jobs!

Got the interview? Make sure you’re well prepared, walking in knowing with whom you’ll be meeting, and something about them. Don’t be shy about asking whom you’ll be meeting if you aren’t initially told, so you can walk in armed with targeted questions that demonstrate that you know your stuff and know the business. And don’t forget the Thank You notes (e-mail or hardcopy, depending on what you’re more comfortable with AND what you think is more appropriate to the receiver), ideally sent out the same day you interviewed. Also be sure to thank those people in your network who offer you guidance, contacts, or other assistance! Be ready to offer them a hand in return, whether now or later, too.

RECRUITER’S TIPs

Use your network of friends and colleagues to find jobs and get referrals

 

For the past three years, employee referrals have been the number one source of externally hired candidates. The latest data suggests that your odds of getting the job offer could be as high as one in every four referrals made. Not only are these employee referrals increasingly important but also timing is very critical when applying for a job. The first minimally qualified person in line for a job has the best chance of getting that job.   The first to know about an open job are usually the friends of the person leaving.  Friends will often know two weeks before a job is posted internally and long before it is advertised to the general public.  Those friends also know the best place to take a resume.  The more people you can network with, the better your odds of being the first to get your resume in the hands of a hiring manager.  Anticipating which companies will grow and add jobs comes from the combined local knowledge of your network. 

 

“Find a need and fill it”

 

Most open positions available are due to either turnover or growth but don’t assume that a company has figured out every job that they need done.  On occasion, individuals can create a job for themselves by showing a company where they can make or save money for the business.  Taking this “sales” approach requires the same thought process as starting your own business and can just as easily lead to that option as to a newly created job within someone else’s company.

 

If you are open to a job requiring relocation, say you’re moving there

 

If you are serious about being open to relocation, approach the job search with the mindset of already being in the process of moving. Short of moving to a new community and then looking for a job, it is very difficult to get an interview in another community where you do not have a network of friends and colleagues.   Having a local street address and phone number stacks the deck in favor of local competition.  This can even be the case when a job is a long commute from your current residence.  A typical cover letter approach is to say that you are relocating to that community and would like to interview for the posted opening.  Expect a recruiter to ask when you will be in town to interview and why you are moving.  It is common for applicants to say they are relocating for either family or personal reasons. 

 

Final food for thought…

 

Remember that the job of a Human Resources recruiter is to narrow down the pool of applicants before referring a few to a hiring manager.  This is why your odds are improved if you can also get your resume directly into the hands of the hiring manager.  Without inside information, you can often learn the name of the hiring manager by calling the Customer Service department (they’re paid to be helpful).  Always copy Human Resources on any correspondence to a hiring manager.

Tis the Season - Good Will & Thanks to All

Tis the season to count our blessings, remembering the many things we take for granted throughout the year.  No matter what the circumstance most August Group members enjoy a lifestyle of good fortune and opportunity that still far exceeds that of a student in our city schools.  We don't get to choose our gene pool.  Opportunities abound at this time of year to make a holiday season more merry for those not as fortunate as we.  

We can all offer our appreciation to those who helped us along the way this past year.  No one succeeds alone.  We are many with varied talents and contributions. I hope that we all find a way to express our talents in a way that permits us to thank those who have made a difference in our lives and that we might pay it forward offering our skills to benefit others.

Personally, my thanks go to Tracey Aiello for his efforts the past three years as the leader of The August Group.  He initiated the semi-annual Job Fairs and nurtured the relationship with RochesterWorks.  Without his caring and tireless effort the group would have folded in late 2004.  Lynn Eason as Tracey's assistant has managed keeping "all the balls in the air."

John Bayley attended the very first meeting of what would become The August Group in December 2001.  He initiated the Power Networking Groups for TAG in late 2002.  His Victor Power Networking and its alumni continues to this day.  John also facilitated the build of the website, caretakes its transition to rebirth soon.  He spirited the group in leadership transition in 2004-2005 and continues in a leadership role that Tracey can call upon when linking present members to early year members.  His JumpStart programs have been of value to many.  He has made a difference for hundreds.

There are many others who week after week offer their talents freely and in often quiet ways.  Many thanks to Cliff Milligan who has led TAG evening sessions, compiled a database of employers in Rochester, and remains a ready resource to all members while he works at Excellus.  Dick Smith maintains our calendar as did Scot Zaffora-Reeder before re-locating to snow country.  Ken Tryon put together a new website quickly and sustains our Internet efforts and newspage on the web.  Dan Kinney, a newcomer, found a way to make a difference with our weekly newsletter and continues to share his talents while working and relocating to Durham, NC.

Publishing Production Manager

GENERAL DESCRIPTION OF POSITION:

The Publishing Production Manager manages publishing activities that manipulate and format text and images for output in print and electronic form. This position is responsible for all post-editorial aspects of production ensuring that all codes are published to the highest quality standards and that jobs are completed on time and within budget. Production functions include: format and page layout, diagrams, maps, attachments, page checks, and quality control for print and electronic output. This position manages the tracking and coordination of all work in production; works with internal IS to coordinate the development and deployment of technology tools; serves as primary liaison for outsourcing of word processing and file conversion.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Manages projects and scheduling to ensure on-time delivery of quality text and electronic products.

  • Ensures all scheduled jobs are complete and accurate to meet weekly, monthly, quarterly and annual budget goals.

  • Prioritizes and coordinates the flow of supplementations and codes scheduled to ship in a given week.

  • Coordinates with Code and Supplementation Managers to ensure smooth work handoffs and process flow.

  • Anticipates, leads and manages implementation of technical process changes.

  • Participates in the development of performance measures for each job category and position.

  • Using objective measures, tracks, manages and improves performance of individual contributors, clarifying individual responsibilities required to meet or exceed established performance and quality goals.

  • Working with VP, team and HR, identifies and coordinates the implementation of department training.

  • Works with VP and other Operations Managers to facilitate cross-functional process improvements that increase productivity, quality, and timeliness.

  • Facilitates regular team meetings, ensuring that meetings are interactive and productive.

QUALIFICATIONS:

  • Bachelor’s or Associate degree, or applicable technology, business and/or project management experience.

  • 3 years’ experience in print and/or media production, with at least 2 years in management/supervision.

  • Knowledgeable in all aspects of publishing, including production planning, scheduling, word processing, composition/layout, copyediting, proofreading and printing.

  • Experience with forecasting and budgeting processes, measures and controls.

  • Experience with computer-based media production tools, including content management systems, authoring templates, workflow tracking, XML editing tools, desktop publishing, and automated systems for print and electronic outputs; experience with XML and Documentum software a plus.

  • Strong project management and coordination skills, with the ability to project resource requirements and drive simultaneous projects to timely completion.

  • Eagerness to learn and implement new publishing technologies.

  • Excellent verbal and written communication skills, with the ability to interpret and translate information to groups and individuals and to report effectively to management.

Account Representative

GENERAL DESCRIPTION OF POSITION:

The Account Representative reports to the Client Services Manager and is responsible for working with field representative(s) to meet the needs of existing and potential clients within a given territory. Primarily responsible for handling incoming phone calls; providing pricing and proposals, resolving questions/problems; following-up on unresolved issues and identifying opportunities for sales solutions, including cross selling and up selling opportunities.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Knowledge

  • Obtain and maintain a thorough knowledge of the company’s products/services.

  • Understand the corporate goals, strategies, philosophy and profitability objectives and work within and toward those objectives.

  • Obtaining and maintaining a thorough knowledge of our clients and their needs and responsibilities, including local government systems.

Sales/Service

  • Handling incoming phone calls; taking orders (for EC’s, Pamps, Supps, PCCB, E-Code).

  • Code delivery telephone conference as required.

  • Electronic products delivery follow-ups.

  • Resolving customer questions/problems including Customer concern tracking and follow-ups to ensure that concerns were resolved to the client’s satisfaction.

  • Preparation and pricing of proposals, estimates, agreements and contract requests.

  • Electronic products training, telephone and on-site.

  • Ensuring that each client in the territory is contacted at least twice each calendar year.

  • Identify opportunities for sales solutions, including cross selling and up selling opportunities.

Communication

  • Coordination and communication with field representative; including extensive telephone contact and internally by utilizing communication programs such as CRM and CIP.

  • Coordinating project requirements and needs with production personnel.

Strategic Planning & Marketing

  • In conjunction with the field representative and marketing department, developing and implementing sales strategies and tactics for territory development for each product line, as well as following-up on estimates, proposals, and contracts. Also, calls to follow up on lost clients and maintenance and dissemination of the information learned through those contacts or new leads generated by them.

  • Identifying opportunities for cross sell and up sell of products and services from the house, most particularly add-on and electronic products/services for existing clients and new prospects as assigned by Client Services Manager.

Sales Operations Manager

GENERAL DESCRIPTION OF POSITION:

The primary focus of this position is to manage the Inside Sales Team, drive their performance, and to assist the VP Business Development in the smooth operation of sales support functions with a strong focus on Customer Service. The Sales Operations Manager will play an integral role as a leader of the General Code Inside Sales force helping to develop and nurture a cohesive team, directing them in their roles as members of territory teams and helping to drive continued revenue growth. In addition to team management, the Sales Operations Manager will work with the VP and other functional groups within General Code to maintain and enhance the operational processes of the entire General Code sales team.

ESSENTIAL RESPONSIBILITIES OR TASKS PERFORMED:

Sales Generation

  • Develop and/or improve a cross-sell/up-sell strategy in order to increase both short-term revenue as well as long-term annuity streams from the current and future customer base.

  • Collaborate with individual District Managers and Regional Representatives to achieve territory objectives for all products and services.

  • Coordinate with the marketing team on developing and maintaining selling tools, acquiring lists and other lead generation programs and tracking of leads.

Sales Operations and Administration

  • Manage day-to-day operations of the General Code sales pipeline including monitoring, measuring and reporting on the progress for filling and closing the business in the pipeline for all products.

  • Coach inside sales team on effective prospecting, qualifying and closing techniques coordinated with the District Managers and Regional Representatives.

  • Act as liaison between District Managers, Regional Representatives, Market Development Managers and Sales Engineers.

  • Establish objectives for training, compensation plans, tracking and reporting, hiring and termination decisions for the Inside Sales and Customer Service Teams.

  • Assist VP Business Development with day to day sales operations and enhancing performance.

  • Ensure that the inside sales team is optimizing use of sales tools, such as CRM. Support and promote the use of these tools by Regional Representatives.

  • Work with IT, Finance and HR to manage and enhance company’s sales incentive system and customer databases.

  • Actively participate in the General Code management team, by sharing knowledge and committing to the achievement of established business objectives.

  • Develop, document and implement vigorous procedures and processes for training and managing the entire sales function.

  • Maintain accurate records of discussions and correspondence with customers.

Customer Service Operations

  • Manage customer service operations, order entry and customer concern procedures.

  • Lead the process of development and review of all product proposals and contracts for all General Code Products.

  • Manage Customer Service Representatives, Sales Order Processing and Front Desk staff.

  • Lead, manage and resolve non-routine customer service complaints.

  • Resolve major issues concerning orders, delivery dates or service issues.

  • Develop and analyze customer service reports.

  • Create and/or improve standard feedback methods and customer complaint procedures.

  • Establish standard customer service policies and standards.

  • Collaborate with managers to develop methods of improving customer service.

  • Research and recommend new tools for customer management, customer service, lead tracking etc.

QUALIFICATIONS:

  • Bachelor's degree or demonstrated equivalent experience/skills.

  • Minimum 5 years required, 10 preferred, in an inside sales management/customer service management role.

  • 3 or more years experience managing an inside sales team.

  • Ability to contribute to strategic sales decision process while managing a large volume of very detail-oriented work and information.

  • Experience working with different functional groups to drive creation and use of business systems, processes and procedures in a rapid growth environment.

  • Demonstrated success in both strategic and tactical planning, in a sales environment.

  • Strong organizational skills.

Interface Analyst

GENERAL STATEMENT:

The purpose of this position is to  spearhead the analysis of various call
detail records that feed into the CostGuard system and to generate and maintain
the processing requirements  for each of these feeds.

DUTIES AND RESPONSIBILITIES:

Interface Analysts take responsibility to insure that all  billable CDR events are properly handled and that our customers' CDR  revenues are not only assured, but maximized. Interface Analysts work with customers to gather switch and  carrier specifications and raw CDR data as well as business specific call processing rules and and translating them into CDR processing  requirements documents. The Interface Analyst works closely with Engineering and Quality  Assurance to review new and updated front end requirements to insure  the correct implementation.

EDUCATION:

Requires a Bachelor's Degree  in a technical discipline and 3-5 years work
experience.

QUALIFICATIONS:

  • Strong logic and analytical skills are a must.

  • Excellent written and verbal communication skills.

  • Proficiency in SQL and the ability to work in a self-directed  environment.

  • Familiarity with programming, wireless rating and billing and CDR's a plus.

Product Marketing Specialist

GENERAL STATEMENT:

Looking for a team player with a positive  attitude. Strong written and
verbal skills area a must as well as proficiency  with generally accepted software
applications including MS Windows, Word, Excel  and Powerpoint and good
Internet capability.
 

DUTIES AND RESPONSIBILITIES:

The Product Marketing Specialist will report to the Marketing  Communications
Manager. This  person is responsible for being a product content expert, 
vertical market analysis, maintaining and improving a product  specification
library, and coordinating the use of the demonstration  systems used by the
Sales team. Position requires identifying market  requirements, prospects, and
maintaining a prospect database/file.    Prepares Request for Proposal responses
and specification  documentation. Works closely with Sales, Marketing, and
Product Management  teams to ensure consistent sales and marketing  message.

EDUCATION:

Requires a Bachelor's Degree in Marketing or a related  field with a minimum
two years experience in marketing.

QUALIFICATIONS:

Marketing Research, Software and/or Telecommunications Marketing  Experience
is a plus.  Excellent written and verbal communication skills.  Must be willing to
travel  occasionally.

Quality Test Engineer

GENERAL STATEMENT:

Individual to be responsible for Quality  Assurance Testing of CostGuardŽ
products. (A telecom rating, billing and  customer care package) 

DUTIES AND RESPONSIBILITIES:

  • Perform Quality Assurance testing of CostGuard (client/server based)  product
    components, including Visual Basic, C++, C# and Microsoft Access applications.

  • Perform Quality Assurance testing of web-based product components and  Microsoft .Net applications.

  • Write and execute test procedures for product components and  requirements.

  • Document and track software defects as they are found, and be  responsible for ownership until the defect is resolved.

  • Work with software engineers to resolve defects and when developing  new
    functionality.

  • Develop a detailed knowledge of the CostGuard product and its supporting applications.

  • Become familiar with and utilize the following on a daily basis: MS  SQL Server, MS Access, and Excel.    Create, maintain, and execute scripts for Automation/Load testing of  production components.

EDUCATION:

Bachelor’s degree and minimum 2 years experience in  Quality Assurance software testing (or 1 years of CostGuardŽ experience) or equivalent experience and training. 

QUALIFICATIONS:

  • Candidate must be very knowledgeable in Microsoft application tools.

  • Must be Detail oriented and have the ability to present and articulate 
    complicated technical problems and solutions as necessary.

  • Experience with relational databases - specifically Microsoft Sql  Server and transact-SQL language is required.

  • Strong background in scripting languages required. (VB, Java,  C-shell).

  • Telecom billing experience preferred.

Wireless Project Manager

Info Directions is looking for a highly motivated,  organized, task oriented Wireless Project Manager with great communication  skills to successfully lead and manage the entire array of activities involved  with the installation and migration of the company's POS, OSS and BSS software solutions.

Duties and responsibilities include:

Wireless Billing Specialist

GENERAL STATEMENT:

Info Directions is seeking a Wireless Billing  Specialist who is familiar with the typical billing operations of a CDMA and/or  GSM cellular phone service provider including incollect/outcollect processing,  roaming agreement management, number administration, rate plan administration, wireless usage detail records, and bill presentment.

Knowledge of wireless order management, provisioning, revenue assurance, POS,
including inventory, and cash management is a plus. This person will share responsibility for the day-to-day operations of customer CostGuard software systems within the Company’s datacenter. They will work with customers to answer questions and troubleshoot issues, follow standard operating procedures to ensure accurate system processing and provide timely responses to customer work orders and requests. This position is for an opening at Info Directions, Inc. home office in 
Victor, NY.

DUTIES AND RESPONSIBILITIES:

  1. Ensure the availability, integrity and accuracy of customer’s  CostGuard systems by following standard operating procedures.

  2. Advise customers on product functionality in order to help them  streamline business processes and provide customers’ business with a  competitive advantage.

  3. Installation of CostGuard service packs, patches, updates and  required  third-party updates into hosted systems.

  4. Complete daily, weekly and monthly processing for customers including  billing and generating invoices.

  5. Respond to and complete customer phone calls, e-mails, and clerk  requests completely and in a timely fashion.

  6. Maintain product knowledge by learning and becoming proficient on new  software releases 7.

  7. Available to work until 8 pm Eastern time.

EDUCATION:

Requires a Bachelor's Degree in Information Technology or equivalent experience.

QUALIFICATIONS:

  • Operational billing experience in areas detailed above with a CDMA/GSM  carrier is a must.

  • Strong customer service skills.

  • Outstanding communication and people skills.

  • Ability to prioritize and manage multiple tasks.

  • Strong problem solving and troubleshooting skills.
